Community Pulse Hub is operated by BrainTech Systems, LLC / Community Pulse Hub ("Community Pulse Hub," "we," "our," or "us").

This Privacy Policy explains how we may collect, use, store, share, protect, and delete information when you use the Community Pulse Hub mobile app, website, support pages, notification tools, and related services.

By creating an account, logging in, joining a community, using the app, or accessing our services, you agree to this Privacy Policy and our Terms of Use. If you do not agree, do not use Community Pulse Hub.

1. Purpose of Community Pulse Hub

Community Pulse Hub is an optional private communication and notification hub for participating groups, communities, organizations, clubs, districts, associations, local teams, and similar groups.

The app may be used to share updates, announcements, reminders, helpful links, amenity information, meeting reminders, notification preferences, and related community information.

Community Pulse Hub is not a government app, public authority app, legal notice system, public records system, official public meeting notice system, official government communication system, or emergency notification system.

2. Information We May Collect

Depending on how you use the app, we may collect the following information:

  • Name
  • Email address
  • Firebase Auth account ID or similar account identifier
  • Group, organization, or community membership
  • Private access code or access membership status
  • Notification preferences
  • Device push notification token
  • App account status, such as active, deleted, disabled, or pending verification
  • Basic app usage, diagnostic, crash, or reliability data if analytics, crash reporting, or diagnostics are enabled
  • Device and technical information needed to operate, secure, troubleshoot, or improve the app
  • Support messages or information you choose to send to us by email, contact form, or support request
  • Administrative records needed to operate the service, such as timestamps, account creation date, account deletion request date, and acceptance of Terms or Privacy Policy versions

We collect only information that is reasonably needed to operate, secure, support, and improve Community Pulse Hub.

3. Information Not Collected in the Current Pilot Phase

In the current pilot phase, Community Pulse Hub does not intentionally collect or provide features for:

  • Real-time location tracking
  • Contact lists
  • Payment card information
  • Banking information
  • Health information
  • Government identification documents
  • Public user posts
  • User-to-user chat messages
  • User-uploaded photos
  • Member-submitted issue reports
  • Biometric information
  • Advertising identifiers for targeted advertising
  • Precise GPS location

If future features require additional information, we will update this Privacy Policy as needed.

4. How We Use Information

We may use information to:

  • Create, verify, and manage user accounts
  • Verify access to a participating group, organization, or community
  • Manage private community codes and approved access
  • Show relevant community information inside the app
  • Send push notifications, announcements, reminders, and updates
  • Save notification preferences
  • Provide support and respond to user questions
  • Troubleshoot technical issues
  • Improve app reliability, performance, and security
  • Prevent unauthorized access, misuse, fraud, abuse, or security incidents
  • Maintain business, security, operational, or legal records
  • Comply with applicable law, contracts, public records obligations, app store rules, or legal requests when required

We do not use user information to sell personal data, run targeted advertising, or create advertising profiles.

5. Push Notifications

If you allow push notifications, the app may store a device push notification token so updates, reminders, announcements, and other relevant notifications can be delivered to your device.

Push notification delivery depends on device settings, app permissions, internet connection, operating system settings, Apple services, Google services, Firebase services, wireless carrier service, battery settings, user preferences, and other technical conditions.

You can manage notification permissions inside the app, through your device settings, or both.

Community Pulse Hub cannot guarantee that every notification will be delivered, received, opened, viewed, or delivered at a specific time.

6. Information Provided by Participating Organizations

Participating groups, organizations, communities, districts, associations, management companies, admins, representatives, or approved contributors may provide information that appears inside the app.

This may include announcements, reminders, meeting information, amenity information, links, descriptions, schedules, documents, or other community information.

Community Pulse Hub processes and displays this information as part of the service, but the participating organization is responsible for the accuracy, completeness, authorization, and appropriateness of the content it provides.

Users should verify important information directly with the participating organization, official website, public agency, management company, or other appropriate source.

7. Admin and Organization Access

Authorized admins or representatives of a participating organization may be able to view or manage certain information related to their community, group, or organization.

This may include user names, email addresses, community membership status, access status, notification categories, or other information needed to manage access and operate the community inside the app.

Admins and participating organizations are responsible for using this information only for appropriate community, support, administrative, and communication purposes.

8. How We Share Information

We may share information only as needed to operate, support, protect, or legally comply with the service.

We may share information with:

  • Service providers that help operate the app, website, hosting, database, authentication, notifications, analytics, diagnostics, email, security, or support
  • Firebase, Google Cloud, Apple, Google, app stores, hosting providers, email providers, and similar technology providers
  • Participating organizations, but only information reasonably needed to manage community access, membership, admin functions, support, or communication
  • Legal, regulatory, public agency, or records custodians when required by law, contract, court order, subpoena, public records obligation, or other legal process
  • Professional advisors, such as attorneys, accountants, insurers, or security consultants, when reasonably necessary
  • A successor entity if BrainTech Systems, LLC or Community Pulse Hub is involved in a merger, acquisition, restructuring, sale of assets, or similar business transaction

We do not sell personal information.

We do not share personal information for cross-context behavioral advertising or targeted advertising.

We do not allow third parties to use user information for their own advertising purposes.

9. Third-Party Services

Community Pulse Hub may rely on third-party services to operate the app and website.

These may include:

  • Firebase Authentication
  • Cloud Firestore or Firebase database services
  • Firebase Cloud Messaging
  • Firebase App Check
  • Firebase Hosting or Google Cloud services
  • Apple App Store services
  • Google Play services
  • Email and support tools
  • Analytics, diagnostics, or crash reporting tools if enabled

Third-party services may process limited technical, account, device, diagnostic, or operational data needed to provide their services.

Use of third-party services may also be subject to the privacy policies, terms, and security practices of those providers.

10. Data Storage and Security

We use reasonable administrative, technical, and organizational safeguards designed to protect user information.

These safeguards may include authentication, access controls, Firebase security rules, app verification tools, restricted admin access, secure hosting, monitoring, backups, and other security practices.

No app, website, database, cloud service, internet transmission, or electronic storage system can be guaranteed to be 100% secure.

You are responsible for keeping your account login information secure and for notifying us if you believe your account has been accessed without authorization.

11. Data Retention

We retain information only as long as reasonably needed for the purposes described in this Privacy Policy.

Retention periods may depend on:

  • Whether your account is active
  • Whether you are part of a participating community
  • Operational needs
  • Security needs
  • Backup schedules
  • Legal, contractual, tax, accounting, public records, or compliance obligations
  • Dispute resolution
  • Fraud prevention
  • App integrity and system reliability

When information is no longer reasonably needed, we may delete, anonymize, archive, or retain it only as legally or operationally appropriate.

12. Account Deletion

You may request account deletion from inside the app or by contacting us at admin@braintechsystems.com.

Account deletion may remove or disable your app account, user profile, community membership, notification preferences, push notification token, and other app account data controlled by Community Pulse Hub.

Some limited information may be retained when reasonably necessary or legally required for:

  • Security
  • Fraud prevention
  • Legal compliance
  • Public records compliance, if applicable
  • Backup and disaster recovery
  • Dispute resolution
  • Accounting or business records
  • Contractual obligations
  • Prevention of unauthorized access or misuse
  • System integrity and operational logs

Deleting your Community Pulse Hub account may not delete information controlled by a participating organization, public agency, management company, app store, device provider, email provider, or other third-party service.

If you request deletion, we will process the request within a reasonable time unless retention is required or allowed by law, contract, security, or operational necessity.

13. User Choices and Controls

You may have the ability to:

  • Update certain account information
  • Manage notification preferences
  • Turn push notifications on or off
  • Leave or request removal from a community
  • Request account deletion
  • Contact support for privacy questions
  • Stop using the app at any time

You can also manage app permissions through your device settings.

14. Children's Privacy

Community Pulse Hub is not intended for children under 13 years old.

We do not knowingly collect personal information from children under 13.

If we learn that we collected personal information from a child under 13 without appropriate consent, we will take reasonable steps to delete that information.

If you believe a child under 13 provided information to Community Pulse Hub, contact us at admin@braintechsystems.com.

15. No Sensitive Data Requested

Community Pulse Hub does not ask users to provide sensitive personal information such as Social Security numbers, government identification documents, banking information, payment card information, health information, biometric information, precise GPS location, or emergency medical information.

Do not submit sensitive personal information through the app or support channels unless we specifically request it for a lawful and necessary purpose.

16. No Sale of Personal Information

Community Pulse Hub does not sell personal information.

Community Pulse Hub does not rent personal information.

Community Pulse Hub does not use personal information for targeted advertising or cross-context behavioral advertising.

If our practices change in the future, we will update this Privacy Policy as required.

17. Public Records and Legal Requests

Community Pulse Hub is not a public records request system.

However, if Community Pulse Hub provides services to a public agency or public entity, certain records related to that service may be subject to applicable public records laws, contract requirements, subpoenas, court orders, legal process, or government requests.

We may disclose information when we believe disclosure is required or permitted by law, contract, legal process, public records obligations, safety, security, or protection of rights.

If you need official public records, legal notices, public meeting notices, or government information, contact the appropriate public agency, records custodian, official website, or legal authority directly.

18. Service Disclaimer

Community Pulse Hub is an optional private communication and notification hub.

Community Pulse Hub does not represent any government agency, public authority, emergency service, law enforcement agency, municipality, county, state agency, federal agency, community development district, homeowners association, management company, or other organization unless expressly stated in a written agreement with that organization.

Information shared through the app is provided by the participating group or organization and should be verified directly with that group or organization when needed.

Community Pulse Hub is not an emergency notification system. In case of an emergency, call 911 or contact the appropriate emergency services.

19. App Store and Platform Requirements

If you use Community Pulse Hub through the Apple App Store, Google Play Store, or another app platform, your use may also be subject to that platform's privacy information, permissions, account deletion rules, and terms.

We are responsible for keeping our app privacy disclosures reasonably accurate based on our actual practices.

20. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When we make changes, we may update the "Last updated" date, post the updated version on our website, provide notice inside the app, or request renewed acceptance when appropriate.

Your continued use of Community Pulse Hub after the updated Privacy Policy is posted or presented means you accept the updated Privacy Policy.

If you do not agree with the updated Privacy Policy, you should stop using the app and may request account deletion.
